Terms and Conditions

Welcome to Oak Chiropractic. By booking an appointment online, over the phone, or in person, you agree to the following terms and conditions:

1. Appointment Bookings - Appointments can be made online, by phone, or in person. We welcome same-day and walk-in bookings where availability permits. - Services available for online booking include: Initial Consultation, Review Consultation, and Regular Adjustments with either Matt or Jordan. - Appointment times are allocated by practitioner, and while we aim to run on time, slight delays may occur.

2. Cancellation and No-Show Policy - Cancellations made within 12 hours of your scheduled appointment or failure to attend will incur a fee equal to 50% of the consultation cost. - This fee will be added to your account and must be settled before future appointments. - Please contact the clinic if you are running more than 5 minutes late. We may not be able to accommodate you without rescheduling.

3. Payment Terms - Payment is required at the time of consultation. - We accept EFTPOS, credit card, cash, and bank transfers. We do not offer on-site HICAPS claiming. - Patients are welcome to submit claims to their private health fund retrospectively

4. Third-Party and Insurance Billing - Oak Chiropractic supports billing under Medicare (EPC plans), Department of Veterans' Affairs (DVA), and WorkCover (where applicable). - All third-party arrangements must be pre-approved and accompanied by valid referral paperwork.

5. Reminders and Communications - Appointment reminders will be sent via SMS and/or email through our secure practice management system, PracSuite. - By booking, you consent to receive appointment-related communications.

6. Clinical Disclaimer - All care is provided in accordance with clinical best practice and individual assessment. - Booking an appointment does not guarantee suitability for a specific treatment or technique. - Informed consent will be obtained before any treatment is provided.

7. Privacy and Data Collection - We collect and store personal and health information in accordance with our Privacy Policy. - This includes contact details, medical history, posture scans, and identifiable patient images for clinical use.

4. Storage and Security
- Patient data is securely stored within PracSuite, our practice management software, which uses encryption and complies with Australian data protection standards.
- Posture scan data, including photographs, is stored securely on a clinical iPad application for internal clinical use only.
- We implement safeguards such as cybersecurity to protect against misuse, interference, or loss of data.

5. Disclosure of Your Information
- Your information may be shared with healthcare providers involved in your care, insurers, Medicare, DVA, WorkCover, and regulatory authorities when required.
- We do not sell or rent your information.
